Where your knowledge lives

BeforeToday: six places, no shared memory

Each tool plugs into your AI on its own. None of them talk to each other.

AfterWith a Business Brain

InboxShared driveCRMAccountsMeeting notesIn their headBusinessBrainCopilotClaudeChatGPT
InboxShared driveCRMAccountsMeeting notesIn their headBusinessBrainAny AI app can ask it

One brain behind every tool, so each answer starts from the same facts.

The problem

Every chat starts from scratch.

Out of the box, your AI doesn't know anything about how your business works.

01

Your knowledge is everywhere.

Your pricing sits in a spreadsheet, the process lives in someone's head, and the decisions are buried in old email threads.

02

So the answers come out generic.

Without your pricing, past jobs or house style, it writes for a business it's never met.

03

Nobody can trace an answer.

You can't tell where an answer came from, or whether it's still true.

How it works

Four steps from kickoff to hand-over.

01
Map your sources

We list where the knowledge lives and who owns each source.

02
Connect them, read-only

We connect your email, shared drive, CRM and meeting notes. Nothing gets moved or changed.

03
Set the rules

We agree who can see what, and which changes wait for a person to approve.

04
Hand it over

We walk your team through how to use it and how to change it.

What it isn't

It isn't a workshop, a data warehouse or another app your team has to log into. Rod, our head developer, builds it for you, on site across Newcastle, the Central Coast and Sydney. The AI Build Day is the workshop where your team learns to build agents of its own.

What you get

Four things it does for your team.

01

One source of truth

Pricing, process and past decisions in plain files you own, readable by people and by AI.

02

Answers with sources

Every answer points back to where it came from.

03

Permissions that follow

Each person sees only what they can already see.

04

Honest gaps

When it doesn't know something, it says so instead of guessing.

Try it

One request, two different answers.

Here's an AI answering with and without the brain.

Example prompt
> Draft the phase 2 proposal for Acme Logistics.
BeforeYour AI, no brain

Before I can draft this, I need a few things:

1. What did we price phase 1 at? 2. Which rate card applies? 3. Who is the contact? 4. What's your usual tone? 5. Which template do you use?

Here's a general outline with blanks to fill in.

AfterYour AI, with the brain

Draft ready to send. Priced from your rate card, in your house style.

Scope. Phase 2, as agreed with Acme in the March call.

Price. From the current rate card, updated 4 days ago.

Sources. Rate card, March call notes, last proposal, style guide.

The difference is the brain, not the AI.

Any AI

Change your AI and keep the brain.

You can switch to a different AI without rebuilding anything.

One brain, any AI

Your team can each use a different AI and still get the same answers.

TWTom What's our policy on software spend under $200 a month?
BBusiness Brain Team leads can approve recurring tools under $200 a month without finance sign-off, if it's logged in the tools register. Anything above goes to the monthly review.
→Source: Finance, spend policy. Updated 2 weeks ago

Tom gets the policy, plus where it lives and when it was last updated.

How you use it

Your AI works the way your business does.

The brain holds how you do things. Your systems keep the live data. Your AI uses both, so jobs get done your way.

Where your AI looks

// the brain: how you workDecisionsProcessesOwnersRulesYour AI// your systems: live dataCRMBookingsAccountsThe answer

Who can change it

Routine updates go straight in. Anything sensitive waits for approval.

You decide what counts as sensitive, and a named person approves those changes.

Your tools, your files

Built in what you already pay for.

01

Inside your accounts

We work in your subscriptions and systems, so we don't need accounts of our own.

02

Yours to keep

What we build stays in your accounts after hand-over, and it runs without needing us.

03

No house AI

If the AI your team uses now can do the job, we'll build on it instead of adding another.

04

Checked before we build

We check what's feasible at the Audit, then test it again in your setup at hand-over.

Frequently asked questions

What's a business knowledge layer?
It's one place where a business keeps what it knows and has decided, readable by people and by AI. It sits above your systems and doesn't replace them.
How is it different from the AI Build Day?
The Build Day is a workshop where your team learns to build its own agents. With the Business Brain, Rod Fernandez, our head developer, builds the whole system for you.
Is it a data warehouse?
No. A warehouse copies your figures. The brain holds decisions, processes, owners and rules instead, so there's never a second copy to go stale.
Do we have to move our files?
No. We connect to them read-only.
Who can see what?
The same things they could see before. We test it with two different accounts before we hand over.
What happens if we stop working with you?
Nothing changes. The files are plain text sitting in your own accounts.
Which AI does it work with?
Whichever one your team uses now, if it can do the job. You'll know before the build starts.

Start with a discovery call.

We'll tell you whether the Audit is the right first step. If you build within 30 days of it, the Audit fee comes off.
